Position Summary
The Real Estate-Construction Legal Support Specialist (Legal Secretary) supports a broad range of practice-specific activities including managing day-to-day administrative and strategic initiatives, workflow management, and preparation of client reports and documents. The role includes coordinating with clients, proactive management of attorney calendars, and responsibility for monthly billing. Candidates should demonstrate professionalism, excellent communication skills, attention to detail, technical savvy, ability to handle multiple priorities, and an organized, efficient work style. Flexibility to work overtime as needed is a plus.
Key Responsibilities
- Assist in creation, editing, proofreading, and processing of legal documents such as correspondence, memoranda, closing documents, and other practice-specific documents.
- Prepare closing statements and assist in drafting closing documents.
- Prepare closing disbursements, closing binders, and title policies.
- Assist in drafting opinions, correspondence, memos, and other documents.
- Assist attorneys in complying with client requests and requirements, including client-specific billing requirements.
- Manage practice calendars to ensure the team operates efficiently.
- Maintain legal files (paper and electronic), organize and file documents.
- Manage document deliveries and track final executed documentation.
- Assist with overflow work and other projects as needed.
- Collaborate with paralegals and other legal support team members as applicable.
- Receive and evaluate telephone calls for supporting attorneys and convey messages promptly.
- Open new matters, draft engagement letters, arrange travel, process reimbursement expenses, maintain attorney calendars, and perform other administrative duties.
Qualifications
- Skilled in administrative tasks such as travel arrangements and processing of invoices and expenses.
- Problem-solving skills with the ability to prioritize and manage multiple activities.
- Self-starter, organized, able to work with minimal supervision.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
- Strong attention to detail, organizational skills, and time management.
- Good interpersonal communication skills, both written and oral.
- Ability to work under pressure to meet deadlines.
- Experience handling real estate transactions and closings.
- Experience coordinating title matters, lien searches, and electronic recording (e.g., Simplifile).
Education & Experience
- Bachelor’s Degree or equivalent experience are preferred.
- Seven or more years of experience in a medium to large-sized law firm in the Real Estate department is ideal.
- Bilingual (English/Spanish) preferred; experience with iManage is a plus.
Technology
- Proficiency with Windows-based software and Microsoft Word, Excel, and Outlook is required.
